This is Ewent Oy’s combined register and data protection statement in accordance with the Personal Data Act (sections 10 & 24) and the EU General Data Protection Regulation (GDPR). Prepared on 5.8.2020.

4. Legal basis and purpose of the processing of personal data
The legal basis for the processing of personal data under the EU General Data Protection Regulation is
– an agreement to which the data subject is a party
– legitimate interest of the controller
The purpose of processing personal data is to connect with the customers and stakeholders, to maintain customer relations, to develop the business and use in marketing.
The data is not used for automated decision making or profiling purposes.
5. Content of the register
The data kept in the register includes: person’s full name, position, company / organization, contact information (phone number, email address, address), communications, website addresses, IP-address of the network connection, information about subscribed services and changes in them, billing information, other information related to the customer relations and the services commissioned.
We will retain personal information only for as long as it is required by law or for as long as necessary for the purposes listed above.
6. Regular data sources
The data stored in the register is obtained from the customer e.g. via messages sent via contact forms on our website, email, telephone, social media services, contracts, meetings and other situations where the customer is giving us their personal information.
7. Regular transfers of data and transfers of data outside the EU or the EEA
Data is not regularly transferred to other parties. Data can be published in regard to what has been agreed on with the client.
Personal data may be transferred outside the territory of the Member States of the European Union or the European Economic Area only if an adequate level of data protection is guaranteed in that country. The data will not be given to third parties other than for the purpose of processing the service.
8. Registry security principles
The register will be handled with care and the data processed by the information systems will be appropriately protected. When data is stored on Internet servers, the physical and digital security of the hardware is properly addressed. The controller shall ensure that the data stored, as well as the access rights to the servers and other information critical to the security of personal data, are treated confidentially and only by the employees whose job description it includes.
9. Right of data check and the right to request correction of data
Each person included in the register has the right to revise the data stored about them and to demand the correction of false information, or the completion of inadequate information. If a person wants to check the data stored about them, they must send a request to the controller via email. The controller may ask the person sending the request to prove their identity. The controller will reply to the customer within the timeframe set out in the EU Data Protection Regulation (generally within one month).
10. Other rights related to the processing of personal data
A person in the register has the right to request the removal of their personal data from the register (“right to be forgotten”). Data subjects also have other rights under the EU’s general data protection regulation, such as restricting the processing of personal data in certain situations. Requests should be emailed to the controller. If necessary, the controller may ask the person sending the request to prove their identity. The controller will respond to the customer within the timeframe set out in the EU Data Protection Regulation (generally within one month).
